Proof on file
before the loss.
Sponsored condition baselines for your book of business, property documentation on assignment across the Tri-State, and records that make a property’s history a matter of evidence rather than recollection.
Documentation services only. We capture and report on property condition. We do not adjust, estimate claims, or represent policyholders.
Four ways agencies use documentation
Sponsor it for your book, order it a property at a time, or send us work on assignment. Coverage across the Greater Cincinnati Tri-State from Burlington, KY.
Sponsored Policyholder Baselines
You cover an annual condition baseline for the households you write. They get a documented record of their property before storm season; you get a renewal touchpoint that isn’t a rate letter, and a book where pre-loss condition is on file instead of in dispute.
See baseline documentation →Condition Documentation on Request
Roof and exterior condition documented on any address you need looked at — at binding, at renewal, or when a client asks what shape their roof is actually in. Aerial capture with an AI-powered written report, usually back within a few business days.
See inspections & reports →Field Documentation Capacity
Licensed pilots and field inspectors covering the Tri-State, with volume capacity when weather drives everyone’s workload up at once. If you need properties documented and your own bandwidth is gone, this is the part we already do every week.
See inspection services →Disaster-Ready Property Records
Baseline imagery, interior inventory documentation, and secure storage for the commercial properties in your book — the file a business owner needs on hand after a loss, built before one happens rather than reconstructed afterward.

Not what gets paid — that’s never ours to say. What’s documented when the question comes up.
- Pre-loss condition rests on memory and whatever photos happen to exist
- Existing wear and new damage are hard to tell apart after the fact
- The policyholder is assembling evidence during the worst week of their year
- Your office fields the questions in the middle
- A dated, third-party record of the property exists from before the event
- Existing wear was documented when it was just existing wear
- The comparison is a document, produced in a few days
- Your office forwards a file instead of mediating a recollection
Sponsor baselines for the households you write
Priced per property. Sponsor the whole book, a segment of it, or offer it to clients at cost as a value-add — however you want to structure it, we’ll bill it that way.

The questions that come up first
Are you adjusters? Do you handle claims?
No. Docu-Fly provides property documentation — we fly a property, capture its condition, and deliver a report. We do not adjust losses, prepare claim estimates, negotiate, or represent policyholders in any capacity. Those are licensed activities and we don’t perform them. What we produce is a factual record; what anyone does with it is entirely up to them.
Are you affiliated with any insurer?
No. We’re retained by whoever books us — agencies, property owners, contractors, and firms that need property documented. We hold no appointment with and no affiliation to any insurance company, and we don’t take a position on any claim.
Why would an agency pay for this?
Two reasons agencies give us. It’s a retention touchpoint that isn’t a bill — a yearly report a household actually opens, with your name on the reason it exists. And a book where pre-loss condition is documented is a book with less time spent litigating what a roof looked like two years ago. Most agencies think of it against what they already spend on retention, not against a per-flight rate.
Who owns the report — us or the policyholder?
Your call, set when the program is built. Reports can go directly to the property owner, or come to your office to review and forward. Either way both of you can have a copy.
Can you handle volume after a regional storm?
To a point, and we’ll tell you where that point is rather than overpromise. We run licensed pilots and field inspectors across the Tri-State, and post-event scheduling runs on a defined response window. Enrolled properties are prioritized ahead of one-off requests.
What areas do you cover?
The Greater Cincinnati Tri-State Area, working out of Burlington, Kentucky — Northern Kentucky, southwest Ohio, and southeast Indiana. Ask about anything outside that; the answer depends on the volume.

Tell Us the Scope
One property, a segment of your book, or ongoing assignment work. We’ll tell you what it costs and how fast we can cover it.
We Document & Report
An FAA-licensed pilot documents each property; AI-powered reporting produces a consistent written record, delivered where you specify.
The Record Stays On File
Securely stored and retrievable, refreshed annually for enrolled properties — so the comparison exists before anyone needs it.
Start with a sample.
We’ll document one property and show you exactly what your policyholders would receive — then price it for whatever slice of your book makes sense.
Docu-Fly provides property documentation services only. We are not adjusters, appraisers, or public adjusters, and we do not evaluate coverage, prepare claim estimates, or represent any party in a claim. Reports describe observed property condition as of the date of capture.
