Turnover & Condition Documentation for Property Managers | Greater Cincinnati & Northern KY | Docu-Fly
For Property Managers & Landlords

Every turnover documented.
None of it on your staff.

Timestamped move-in and move-out records, turnover comparisons, and annual condition baselines across your whole portfolio — captured by a third party, delivered as a clean report, and filed where you can find it two years from now.

Where we fit

Four points in the leasing cycle worth documenting

Book any of these one at a time, or put your whole portfolio on a schedule. Volume pricing starts at ten units.

At handoff

Move-In Documentation

A room-by-room interior walkthrough plus an exterior and roof pass, timestamped on the day the tenant takes possession. Everything downstream — every comparison, every deposit conversation — depends on this record existing.

See condition documentation →
At turnover

Move-Out & Comparison

The same walkthrough at the end of the lease, compared directly against the move-in record. You get a dated, third-party account of what changed — instead of two people describing the same wall from memory.

Once a year, portfolio-wide

Annual Condition Baselines

Every property in the portfolio documented on one scheduled route — roof, gutters, siding, flatwork, grounds. A dated record for each address, updated yearly, so a storm claim or a capital planning conversation starts with evidence.

Between tenants, or after weather

Exterior & Roof Inspections

The parts of a building nobody looks at until water comes through a ceiling. Aerial inspection with AI-powered reporting catches the failing flashing and the clogged valley while it’s still a maintenance line item.

What you get

What’s in the record

Every visit produces the same report structure, whichever of our inspectors shows up — that consistency is most of the value.

  • Room-by-room interior photos — walls, floors, fixtures, appliances
  • Aerial exterior and roof pass — the angles a phone can’t reach
  • Timestamped capture — dated at the moment of the visit
  • Move-out compared to move-in — changes called out side by side
  • Plain-English written report — not a folder of loose photos
  • Consistent format every time — no variation by who walked the unit
  • Third-party capture — documented by someone with no stake in the outcome
  • Stored and retrievable — findable when it matters, not on a phone that left with an employee
Portfolio pricing

The more units on the route, the lower the rate

Clustered scheduling is what brings the per-visit price down — so portfolios are priced by route, not by door.

50+ Units

Straight answers

The questions managers ask first

Our maintenance staff already takes photos. Why pay for this?

Phone photos are usually fine right up until they aren’t — inconsistent from one tech to the next, scattered across devices, and gone when that employee leaves. This is the same walkthrough done identically every time, written up as a report, captured by someone with no stake in the outcome, and stored where you can pull it two years later.

Will this slow down our turnover?

The visit is scheduled around your turn, not the other way around, and most units take well under an hour on site. Reports come back within a few business days — usually before the unit is ready to show.

Do you go inside, or is this just aerial?

Both. Interior is a room-by-room photo walkthrough; exterior and roof are captured from the air. For turnover documentation the interior is the part that matters most — the aerial pass is what makes the exterior record worth having.

What about occupied units?

We work to whatever notice and access process you already follow. Tell us your procedure and we’ll schedule inside it — we’re not going to create a tenant-relations problem for you.

Is there a minimum?

Not to start. One turnover, one visit, one invoice. Volume rates kick in at ten units and again at fifty — most managers try a single unit first and put a portfolio on the schedule after they’ve seen a report.

Who owns the reports?

You do. They’re yours to keep, forward to an owner, attach to a file, or hand to anyone who needs them.
